To create and edit vessel lists, or set up alerts, follow these steps.

Create a vessel or company list.

To create and edit vessel lists, follow these steps.

  1. Navigate to 'Lists' from the main navigation, then click 'Create List' at the top right of the page.

  2. Enter a name for the list, choose whether it is a vessel or company list, and add a category.

  3. If the list is only applicable for a specific business unit, select the 'Is Business Unit Specific' button and choose the business unit it applies to. The list will appear for everyone who is in that specific business unit. If the list is applicable for the customer, select the ‘Is Customer Specific’ button. Alternatively you can create a private list, which is only visible to you.

  4. Click ‘save’ and your new list will appear on the Lists page.

Please note: When a vessel list has been created, it cannot be changed into a company list, and vice versa.

Adding and removing vessels in a list, and how to export a list.

There are two ways to add vessels to a list. You can add a vessel from the vessel overview page, or you can upload a list of vessels from an .xls or .csv file.

Uploading multiple vessels from an .xls or .csv file.

  1. Navigate to a vessel list and click on the ‘more’ button (3 dot icon) and select ‘Import’.

  2. Browse your computer for the subject .xls or .csv file and import it. This may take some time depending on the file size. To start off with, make sure the file has the column name ‘IMO’ at the top. That way, the column name in the next section will be correctly mapped to the list’s default ‘entity column name(s)’ and what data type your columns are formatted in. Column names must start with letters and not numbers.

    Note: Any file uploaded with an IMO that is not recognised in our database of vessels will NOT be imported. Check the IMO number and try again.

  3. The column name entitled 'IMO' will be recognised. Select ‘Import Data’ accordingly. Once imported, the vessels will appear in the list.

  4. Other columns can be added, such as ‘Comments’, 'Effective From or ‘Effective To.' Again, make sure you add the column names in the file, so that it mirrors what is available in the dropdown menu under “Entity Column Name.”


  5. Select ‘Import Data’ accordingly. And you will see the column names listed.

  6. You can also add new custom columns depending on your requirements. Begin by adding the name of the column in the file as below:

  7. After uploading you will see the newly created column name. Select ‘Is New Dynamic Property’, then select the required data type in ‘Data Type’. In this particular example, select ‘Text’, and import the data accordingly.

  8. To view the new dynamic property, or ‘custom column’ in this particular example, click on the 3 dots on the right of each vessel, and select ‘List Item Details.’

Adding an individual vessel from the vessel overview page.

  1. Navigate to a vessel overview page and click on the 'more' button (3-dots icon) and select 'Add to list'.

  2. Select the list to add the vessel from the 'Choose a list' field. Fill in the 'effective from' and 'effective to' date so that you can set alerts for when this vessel's effective to date is set to expire. No vessels will be auto-removed from any list if the effective to date is set. This is useful for when you have a vessel with a valid inspection for 12 months, and want to set an alert as a reminder that this vessel's inspection will expire.

  3. Click save and the vessel will be added to that list.

Remove a vessel from a list.

  1. Navigate to a vessel list, and from the vessel list overview page, find the vessel(s) you want to remove and select the checkbox to the left of the vessel name.

  2. Click the bin icon and input a reason for removal. A reason is required and recorded in the list history to track when and why a vessel was removed from a list. Click the remove button to confirm the removal of the vessel.

Exporting a list.

  1. Navigate to a vessel list and click on the 'more' button (3-dots icon) and select ‘Export’.

  2. Your browser will immediately start the download in .xlsx format.

How to set up list alerts.

  1. Navigate to a list and select the 'alert settings' tab. Click 'new alert setting' (plus icon).

  2. Fill in the New Alert form and select any conditions you would like to be alerted to.

  3. At least one email address must be entered in the 'Add Recipients' section.

  4. Click 'Save' to add the new alert to the list.

Note: Recipients will not be able to opt out of email notifications when their email is added in this section. If a recipient no longer wants to receive emails from alert notifications, their email address must be removed from this specific alert setting.

Adding or removing companies in a list.

There are two ways to add companies to a list. You can add a company from the company overview page, or you can bulk upload a list of companies from a .xls or .csv file.

Bulk uploading multiple vessels from an .xls or .csv file.

  1. Navigate to a company list and click on the ‘more’ button (3 dot icon) and select ‘Import’.

  2. Browse your computer for the subject .xls or .csv file and import it. This may take some time depending on the file size. To start off with, make sure the file has the column name ‘IMO’ at the top. That way, the column name in the next section will be correctly mapped to the list’s default ‘entity column name(s)’ and what data type your columns are formatted in.   3. The column name entitled, “Company IMO” will be recognised. Select ‘Import Data’ accordingly. Once imported, the companies will appear in the list.

  4. Other columns can be added, such as ‘Comments’ or ‘Effective To’. Again, please make sure you add the column names in the file, so that it mirrors what is available in the dropdown column, "Entity Column Name" as per snippet below:

  5. Select ‘Import Data’ accordingly. And you will see the column names listed.

  6. You will see the list of companies with ‘added comment’, however effective from/to dates will be displayed in ‘List Item Details’ section after clicking the 3 dots on the right:

Adding an individual company from the company overview page.

  1. Navigate to a company overview page and click the 'Add to list' button.

  2. In the 'Add to list' field, select the list to add the company from. Fill in the 'effective from' and 'effective to' date for this vessel so that you can set alerts for expiration. No companies will be auto-removed from any list if the 'effective to' date is set. This is useful when you have a company restricted for 12 months, and want to set an alert to remind yourself when this company's restriction will expire.

  3. Click save and the company will be added to the list.

Remove a company from a list.

  1. Navigate to a company list, and, from the company list overview page, find the company(s) you want to remove and select the checkbox to the left of the company name.

  2. Click the bin icon and provide a reason for removal. A reason is required and recorded in the list history to track when and why a company was removed from a list. Click the remove button to confirm the removal of the company.
